DJ Booking Terms & Conditions

1a) The DJ will provide full PA system and the musical equipment required. Stage lighting will also be provided as discussed at time of booking. Please note this is lighting for the dancefloor area and not for the full venue. The DJ’s equipment is not for use by guests or anyone else, including other acts, unless previously agreed, this will be strictly at the DJ’s discretion.

1b) The PA & lighting system takes a minimum of 1 hour to set up from when the DJ is granted access to the room. It also takes a minimum 1 hour from the end of the last song/speech until everything is securely packed away in the DJ’s vehicle.

2a) A non-refundable reservation fee will be required to book the DJ. We request this on the booking date, however, if this has not been received within 7 days of the date of your booking confirmation email, this will result in the date being made available to other clients. Please make payment via BACS online to the payment details provided on your invoice.

2b) The booking fee is to secure the requested DJ for a specific date & venue specified at the time of booking, any changes including moving date or venue, postponing or rescheduling a booking would be classified as a cancellation and fall under the cancellation terms detailed in section 5 of this contract. On occasion at the discretion of PJ’s Entertainment, we are able to change some details and transfer the reservation fee with a new booking form being sent out.

3) The remaining balance is due via BACS at least 1 week prior to the event date noted above. On occasion, at the discretion of PJ’s Entertainment & with prior notice we are able to accept cash in an envelope on arrival on the day of the event and provided no later than the start time of the event noted in your booking confirmation. PJ’s Entertainment do not accept cheques as payment for any services.

4) The “Total Fee” noted on your booking confirmation refers to the cost to you (the client) inclusive of the DJ’s fee and all travel expenses which include, but are not limited to, transport, fuel and accommodation costs (if applicable) for the DJ to travel to and from the venue. PJ’s Entertainment do not have any hidden charges and the figure provided is the complete fee and in an all-inclusive price.

5) In the event of a cancellation by the engager, the following will be charged:

61+ days before the engagement date                                  0% of the remaining fee.
46-60 days before the engagement date                              25% of the remaining fee.
31-45 days before the engagement date                              50% of the remaining fee.

Within 30 days of the engagement date                               100% of the remaining fee.

6) The engager is to ensure a suitable performing area is provided. Unless otherwise agreed, the engager must ensure an electrical supply is provided that meets, or exceeds British Standards. For any outdoor events suitable dry cover must be provided. If the event staging area is waterlogged or in any way unsafe to perform, the DJ will not be held accountable and will not set up any equipment or perform. Should this occur the full fee will still be due.

7) The DJ’s PLI (Public Liability Insurance) has a limit of £10,000,000. A copy of the PLI certificate is available upon request to any venue that requires it.

8) On occasion it may be necessary to use an alternative DJ. This is a backup if our DJ takes unwell, is injured, or for any other reason unable to be there. In this unlikely event we will commit to making every effort possible to supply a suitable replacement DJ. We have this as a security for the client and allows us to guarantee that the DJ/agent will not pull out due to the above reasons. An alternative DJ does not constitute grounds for cancellation and there will be no reduction to the fee.

9) A late start does not constitute grounds for a late finish or cancellation. Only at the discretion of the DJ will times be adjusted on the day. The Agreement is strictly between the agreed hours and not based on performance/playing time.

10) This agreement is confirmed when the booking form and booking fee is sent.

11) Photobooth/Photopod hire – the engager agrees to be responsible for the replacement of any props provided by PJ’s Entertainment which are damaged by or not returned by guests attending their event.  In the event of any damage/loss of any props the hirer is liable to cover the cost of replacement at the current market value.  An itemised list of all props supplied will provided by PJ’s Entertainment at every event and issued to the engager on the night of hire.

12) Any amendments to these terms must be made in writing (email or post), at least 30 days prior to the engagement date. It is the responsibility of the engager to make sure the event runs as planned and on time. Under no circumstances will the DJ play beyond the agreed time.

DJ Rider – If daytime sets are booked (before 6pm) alongside an evening set (7:30pm onward), a meal must be provided for the DJ and any additional crew members. This is negotiable if discussed with PJ’s Entertainment prior to sending the booking form & booking fee.
